Common Printer Problems & Fixes

Follow these diagnostic steps before calling us. Most printer issues can be resolved in under 10 minutes.

Printer Not Connecting to WiFi

  1. Restart all devices: Turn off your printer, router, and computer. Wait 60 seconds, then restart router first, then printer, then computer.
  2. Check WiFi band: Most printers connect to 2.4GHz only. Ensure your router's 2.4GHz band is active and your printer is not trying to connect to 5GHz.
  3. Re-run wireless setup: Go to your printer's control panel → Network Settings → Wireless Setup Wizard and re-enter your WiFi password carefully.
  4. Check for IP conflicts: Open router admin page (192.168.1.1) and assign a static IP to your printer to avoid address conflicts.
  5. Disable firewall temporarily: On your computer, temporarily disable Windows Firewall and check if the printer is detected. If yes, add a firewall exception.
  6. Reinstall printer driver: Uninstall existing printer from Devices & Printers, download latest driver from manufacturer's website and reinstall fresh.

Paper Jam Issue

  1. Power off immediately: Turn off the printer as soon as a jam is detected. Never force-pull paper while the printer is on.
  2. Open all access panels: Check the rear access door, front tray, and any side panels. Look for paper visible in multiple locations.
  3. Remove paper gently: Pull the paper in the direction of printing (forward), never backward. Use both hands and move slowly to avoid tearing.
  4. Check for torn pieces: Small torn bits left inside cause repeat jams. Use a flashlight to inspect all rollers and pathways thoroughly.
  5. Clean the rollers: Use a lint-free cloth lightly dampened with distilled water to clean the feed rollers. Let them dry before restarting.
  6. Use correct paper: Ensure paper is not damp, wrinkled, or beyond the tray's capacity (usually 150–250 sheets). Use paper within specs.

Printer Shows Offline Status

  1. Set as default printer: Go to Settings → Bluetooth & Devices → Printers & Scanners → Select your printer → Set as Default.
  2. Clear print queue: Open printer queue (double-click printer icon), cancel all pending print jobs. A stuck job often causes the offline status.
  3. Disable "Use Printer Offline" mode: In printer properties → right-click your printer → uncheck "Use Printer Offline" if it is checked.
  4. Restart Print Spooler service: Press Win+R, type services.msc, find "Print Spooler", right-click → Restart. This refreshes all printer connections.
  5. Remove and re-add printer: Delete the printer from your computer, then add it again using Add a Printer wizard. Choose the network/wireless option.
  6. Check IP address match: Open printer network page (print a configuration page) and ensure the IP shown matches what your computer sees in printer properties.

Poor Print Quality

  1. Run printhead cleaning: Open printer software → Maintenance/Tools → Clean Printhead. Run this 2–3 times and print a test page after each cycle.
  2. Check ink/toner levels: Low ink causes faded or streaky prints. Replace cartridges if levels are below 10%. Use only genuine or high-quality compatible cartridges.
  3. Align the printhead: In printer tools, run "Printhead Alignment" or "Print Alignment Page" — this corrects misaligned text and uneven color bands.
  4. Use correct paper type: Set the paper type in print settings to match the actual paper (glossy, plain, photo). Wrong settings cause blurry or over-saturated output.
  5. Check print resolution settings: Open printer preferences and ensure DPI is set appropriately — 300 DPI for documents, 600+ DPI for photos and graphics.
  6. Clean printhead manually: For persistent issues, gently clean the printhead with a lint-free cloth dampened with distilled water (inkjet printers only).

Printer Not Printing from Mobile

  1. Use same WiFi network: Ensure your mobile phone and printer are connected to the same WiFi network (same router, same band if possible).
  2. Install manufacturer app: Download the official app — HP Smart, Canon PRINT, Epson iPrint, or Brother iPrint&Scan — from your app store for easy mobile printing.
  3. Enable AirPrint (iOS): For iPhones, use AirPrint — go to share icon → Print → select your printer. No extra app needed if printer supports AirPrint.
  4. Enable Google Cloud Print/Mopria (Android): Install Mopria Print Service from Play Store. Most modern Android printers support Mopria out of the box.
  5. Check printer firmware: Outdated firmware can prevent mobile connectivity. Update via printer settings → Network → Firmware Update, or through the manufacturer app.
  6. Factory reset network settings: As last resort, restore printer network settings to factory defaults and redo the WiFi setup completely from scratch.

Scanner Not Working

  1. Check scanner glass: Clean the flatbed glass with a soft, lint-free cloth. Dust or smudges on the glass directly affect scan quality and can cause detection errors.
  2. Use Windows Fax & Scan: Open "Windows Fax and Scan" from Start menu. If the scanner appears here, your scanner hardware is fine and only software needs fixing.
  3. Reinstall scan software: Uninstall the existing printer/scanner software, download the full driver+software package from the manufacturer's site, and reinstall completely.
  4. Check USB vs Network mode: For network scanners, ensure "Scan to Computer" is enabled in the printer's settings menu. This must be activated separately from printing.
  5. Update WIA driver: In Device Manager, find "Imaging Devices", right-click your scanner → Update Driver → Search Automatically. WIA driver issues are common after Windows updates.
  6. Try different scan application: Test with alternative software like IrfanView, VueScan, or the manufacturer's own scan app to isolate whether it's a driver or application issue.
